Organisational Structure

The DUS has three sections: (1) Admission & Registration section, (2) Student Data Management section and (3) Timetabling & Examination Coordination section.

Responsibilities of the Director

  1. Advising the DVC-AC on strategic planning and policy matters in relation to undergraduate training
  2. Coordinating development & review of curricula in collaboration with QAPB
  • Initiating and coordinating marketing activities of UG programs
  1. Chairing meetings of the SUGSC
  2. Approving postponement of studies for UG students
  3. Final Academic Transcript signing/authorising
  • Maintaining and updating the SUA alumni register
  • Developing and updating guidelines and regulations
  1. Monitoring of teaching and examination processes
  2. To oversee the process of admission and registration
  3. Overseeing all activities for sections under the Directorate

Responsibilities of the Deputy Director

  1. Assisting the Director
  2. Coordinating activities of the DUS sections
  • Providing support to sections under the DUS
  1. Handling issues related to External Examination
  2. Preparing management reports related to UG training
  3. Maintaining and updating the SUA alumni register
  • Developing and updating guidelines and regulations
  • Preparing reports for graduation & prize award ceremonies
  1. Monitoring of teaching and examination processes
  2. To oversee the process of admission and registration
  3. Other responsibilities as assigned by the Director

4.2.3 Responsibilities of the Admission & Registration section

  1. Managing the Admission of UG students (advertisement, selection & admission)
  2. Carrying out program registration for UG students
  • Responding to issues related to course registration for UG students
  1. Preparing, printing and issuing of student ID cards
  2. Processing student transfers across programs and institutions
  3. Processing of students’ applications postponement of studies
  • Receiving and processing admission applications
  • Coordinating RPL examination process
  1. Answering admission and program registration inquiries
  2. Handling TCU and admission matters
  3. To convene and act as secretariat to the admission board
  • Updating website content related to undergraduate admission and registration

Responsibilities of the Student Data Management section

  1. Keeping custody of UG examination results
  2. Printing and issuing of partial transcripts for UG students
  • Printing and issuing of final academic transcripts for UG students
  1. Issuing SUASIS username and password for staff
  2. Responding to inquiries on student data entry process from instructors
  3. Generating reports from SUASIS
  • Updating website content related to UG examination and training in general

Responsibilities of the Timetabling & Examination Coordination section

  1. Generating teaching timetables
  2. Monitoring of teaching venue usage and problems in collaboration with Classroom Service Unit
  • Generating examination timetables
  1. Preparation of budgets for UG examinations
  2. Handling issues related to External Examination
  3. Ordering of examination booklets and distribution to venues
  • Coordination of Final UG Examination activities
  • Preparation, printing and issuing of Certificates
  1. Processing appeals against discontinuation for UG students
